Overview

The Save View feature in TallyPrime is a powerful productivity enhancement that eliminates the repetitive task of reconfiguring reports every time you open them. Every accountant and business owner knows the drill: you open a Tally report such as the Sales Register, Stock Summary, Bills Receivable, Bills Payable, or Profit & Loss statement, and then spend the next several minutes applying a specific date range filter, filtering by party name or stock group, changing the column order, adding or removing columns like Bill-wise details, HSN codes, tax break-ups, or setting custom grouping levels and sorting preferences. With Save View, you can store ALL these configurations — every filter, every column selection, every sorting order, every grouping level, every valuation method setting — as a single named "View" that is linked to your user profile. Once saved, you can reopen that exact same personalized report configuration in literally one click from the Go To menu (Alt+G) or from the Favourites section, without having to remember or re-apply any of the settings. For accounting teams that run the same 10-20 report configurations on a daily or weekly basis, Save View translates to hours of saved time every month, reduced human error from forgotten filters, and a consistent personalized reporting experience tailored to each team member's role and responsibilities.

Key Benefits

Save 5–10 Minutes Per Report

Eliminate repetitive configuration work. Instead of manually applying date filters, adding columns, and setting grouping each morning, open your saved views instantly and focus on analysis rather than setup.

User-Level Personal Views

Each employee saves their own favourites independently. The Sales Manager's preferred Sales Register view, the Accountant's custom Ageing Analysis, and the Owner's P&L summary all coexist without interfering with each other.

Pin to Go To Dashboard

Mark critical views as Favourites and they appear at the top of the Alt+G (Go To) dashboard. Your most-used reports are always the first thing you see, no scrolling or searching required.

Share Views with Team

In multi-user TallyPrime Gold environments, administrators can share curated views with specific users or all employees. Ensure every team member is looking at the same standardized report format for consistency.

Step-by-Step Guide

1

Open Any Report in TallyPrime

Begin by opening the report you want to customize. For this walkthrough, navigate to Gateway of Tally → Display → Account Books → Sales Register. You can also press Alt+G (Go To) and simply type "Sales Register" to jump directly to it. The Save View feature works identically across virtually every Tally report including Stock Summary, Bills Receivable, Bills Payable, Trial Balance, Profit & Loss, Cash/Bank Books, and all GST reports.

2

Apply Date Period, Columns & Filters

Press F2 (Date Period) and set the range to 1-Apr-2025 to 31-Mar-2026. Next, press F5 (Columnar) to open the column configuration screen. Enable the following columns for a comprehensive GST-ready view: Bill-wise Details, HSN/SAC, Taxable Value, CGST, SGST, and Total Invoice Amount. Optionally, press F12 (Configure) to set additional options like showing narration, bill references, or party GSTINs. Apply any additional filters by party name, voucher type, or cost centre as per your requirement. The order in which columns appear also gets saved, so drag them into your preferred sequence using Ctrl+Arrow keys if needed.

3

Press Alt+S or Click Save View Button

Once your report looks exactly the way you want it, look for the "Save View" button in the top-right corner of the report toolbar (usually alongside the Configure, Export, and Print buttons). Click it with your mouse, or simply press the keyboard shortcut Alt+S from anywhere within the report. TallyPrime will open the Save View dialogue box, pre-populating a default view name based on the report name and current date period.

4

Enter a Descriptive View Name

In the Save View dialogue, replace the default name with a clear, descriptive label such as "Sales Register FY2526 with HSN". Good naming conventions are important — include the report name, financial year, and any key customization so you can identify it later among dozens of saved views. Tick the "Add to Favourites" checkbox if this is a report you will use daily or weekly; this pins it to the top of the Go To menu for ultra-fast access.

5

Configure Advanced Options (Optional)

Click the "Show More" or Advanced Options section to reveal two powerful settings. "Apply always when report opens": set this to Yes if you want this view to load automatically every time you open the base report (great for default Stock Summary valuation or default Sales Register columns). Set it to No for ad-hoc or occasional-use views. "Share with users": if you are on TallyPrime Gold multi-user, select specific user names or choose "All Users" to publish this view to the entire team — ideal for standardized GST filing reports or month-end closing checklists.

6

Accept & Save the View

Review all settings one final time, then click Accept (or press Enter) to save your personalized view. TallyPrime displays a confirmation message indicating the view has been saved successfully. Now return to the Gateway of Tally and press Alt+G (Go To). Scroll down to the section labelled "Your Views" or simply start typing the word "Favourites" into the Go To search bar — your newly saved view will appear in the suggestions list along with any other views or favourites you have previously created.

7

Reopen, Delete or Rename Saved Views

Click on your saved view name from the Go To list. The report will reopen in approximately 2 seconds with ALL the exact same filters, columns, period range, grouping levels, and sorting preferences — no further configuration required. To manage your saved views, open the Go To menu, navigate to Your Views, highlight any saved view, and press Alt+D to delete it or Alt+R to rename it. You can also toggle the Favourite status on or off from the same management screen to reorganize your pinned views periodically.

Pro Tips

Save View Productivity Tips from Tally Experts

  • Create a "Month End Closing" view collection: During GST filing season, save the 5–6 reports you always need: GSTR-1 with HSN summary, GSTR-3B computation view, Cash Book Summary, Bank Book Summary, Stock Summary with valuation, and ITC Reconciliation. Name them all with a "MEC-" prefix so they group together in the Your Views list.
  • Pin Ageing Views for AR Team: If you have an accounts receivable team, save three Bills Receivable views with pre-configured ageing buckets: one for 0–30 days (current), one for 31–60 days (follow-up required), and one for 60+ days (escalation list). Pin all three as Favourites so collection executives can jump straight into priority calling without manual filtering.
  • Use "Set as Default" on Stock Summary: Most businesses prefer a specific valuation method (like FIFO or Average Cost) and a specific set of columns on Stock Summary (closing quantity, rate, value, reorder level). Save your ideal configuration with "Apply always when report opens = Yes" so every time anyone opens Stock Summary, it immediately shows your company-standard format.
  • Clean Up Quarterly: Every three months, spend 5 minutes going through the Your Views list and deleting old ad-hoc views you no longer use. A short, curated list of 15–20 active views is far more useful than a cluttered list of 100+ obsolete configurations from past financial years.

Frequently Asked Questions

Yes, saved views are stored securely within your company data file itself, not in the TallyPrime program installation folder. When you upgrade from one TallyPrime release to another (e.g., from 7.0 to 7.1 or future versions), all saved views, favourites, and user-level personalizations are preserved automatically and continue to work exactly as before without any manual reconfiguration. As a best practice, however, Sanyam Consultants recommends noting down or taking screenshots of your most critical views before a major version upgrade — not because they get lost, but so you can quickly verify they all reappear correctly after the first post-upgrade company load. If you are migrating company data from an older Tally.ERP 9 to TallyPrime, saved views are a TallyPrime-exclusive feature and will need to be recreated once on the new platform.

No. By default, all saved views are private and user-specific. When User A (e.g., the Sales Manager) saves a custom Sales Register view, User B (e.g., the Purchase Manager) will not see it in their Go To or Your Views list at all — even if both users have the same Tally.NET ID permissions. This privacy-by-default design ensures each user can build their own personal productivity setup without cluttering anyone else's workspace. If you intentionally want a view to be visible to other users, you must explicitly use the "Share with users" option either during the initial Save View creation or by editing the view later. You can choose to share with individual named users (great for departmental views) or with all users in the company (great for statutory or standardized management reports).

TallyPrime enforces a hard upper limit of 500 saved views per company data file. This is an aggregate ceiling across all users combined — so if you have 10 users on Tally Gold, collectively they can save up to 500 views. For the vast majority of SMEs and even mid-sized businesses, this limit is extremely generous and you are unlikely ever to hit it in normal usage. If you do find yourself approaching the limit, it is almost certainly a sign that many old, unused views from previous financial years are still sitting in the system. Schedule a quarterly cleanup routine as suggested in the Pro Tips section above, archive or delete views you no longer actively use, and you will comfortably stay well under the 500-view ceiling indefinitely.
